TEAM OBJECTIVES
The Business Support Team is responsible for ensuring that all business processes (Finance, HR, Supply Chain and IT) are followed and implemented in a manner consistent with policies, standards, and regulations. corporate submission Oxfam.
Specifically, the Logistics and Supply Chain team will provide professional, business-focused support for logistics, using proactive, solution-based approaches to problem solving and ensuring that requirements are effectively managed to deliver results for the organization and help achieve program objectives.

TRAINING OBJECTIVES
The objective of this internship is to hire a supply chain intern who will be part of the logistics and supply chain team in Addis Ababa. The incumbent will assist the logistics team with various logistics and supply operations.

ROLE DESCRIPTION

Work directly with the logistics team, as well as indirectly with partners, internal departments, suppliers and other stakeholders.

Procurement Management:

  • Responsible for all procurement records according to established standards, data flows and all other relevant records.
  • Upload scanned documents to Box under the project folder and share the Box link every two weeks.
  • Facilitate timely payments to suppliers.
  • Ensure that invoices, invoices and purchase orders/contracts are reviewed before being submitted for payment or signing.
  • Provide support to the procurement team by supporting OXFAM and sponsor compliance requirements.
  • Assist the procurement team in submitting tender documents, ToRs and contract preparation in a timely manner.
  • In the absence of a supply chain manager, hold procurement committee meetings.
  • Maintain an appropriate record of all supply, decision and contract activities.
  • This process is accurately recorded for accountability and audit purposes.
  • Communicate proactively and effectively with the logistics team (supply, fleet, warehouse).
  • Establish and maintain ethical and professional relationships with suppliers.

Fleet management:

  • Ensure track point information is up to date and all vehicle information is correctly tracked by the national program.
  • Fuel consumption data for each vehicle must be entered into Teramar in a timely manner.
  • Ensure that all vehicles have required vehicle documentation and that all documentation, including insurance, is up to date.
  • Ensure media logs are completed properly and vehicle health is recorded.
  • Work closely with Fleet Officers to prepare weekly and monthly fleet reports.

TECHNICAL SKILLS AND KNOWLEDGE

A bachelor’s degree in logistics or supply chain management, or any other field that can add value to the position.

  • Newly graduated students without any experience. The internship program is also open to master’s degree holders who are interested in working as interns.
  • Strong communication and writing skills.
  • Experience using computers and Microsoft Office applications
  • Ability to work in a team environment as well as independently.
